How to apply for a job on Ashby

An Ashby posting has an Overview tab with the job and an Application tab with one form: your name, email, phone, a resume upload, often LinkedIn and links, the employer's own questions and sometimes a voluntary survey. Open the Application tab, fill every required field, attach a PDF made for the posting, and press Submit Application once. Some employers allow only one application per person in a given period, so make the first one count.

Where Ashby's forms live

Ashby is an applicant tracking system popular with newer technology companies. Its job boards sit at jobs.ashbyhq.com/ followed by the company's name. Each posting page has two tabs:

  • Overview, with the description, the location and work model, the team, and the pay range where the employer shows one.
  • Application, the form itself, at the same address with /application on the end.

Many employers embed their Ashby board on their own careers site instead. The address then stays on the company's domain, often with an ashby_jid parameter naming the job, and the form loads in a frame. A few employers turn off Ashby's hosted page altogether and show the board only inside their own site; the form is the same.

What the form asks

Ashby forms are built by each employer, but they share a common shape.

Name, email and phone

Ashby asks for your name in a single field. Email is always there and always required. Phone is not built in: when a form has one, the employer added it, and it may or may not be required.

Resume

A file upload, usually required. Send a single-column PDF with a real text layer, because the hiring team's copy of Ashby reads it to fill your candidate record (see how an ATS parses a resume). If a field on the page changes after you attach the file, check it before you go on.

LinkedIn, GitHub and other links

Technology employers on Ashby often ask for a LinkedIn profile and, for engineering roles, a GitHub or portfolio. Some make LinkedIn required. Use the full address of your profile.

The employer's questions

Work authorization and sponsorship, where you are based, whether you can work in the posting's time zone or come to the office on given days, salary expectations, earliest start date, and open questions such as “What excites you about this role?”. They arrive as yes or no buttons, menus, multi-select lists, date pickers and text boxes. Our guide to answering application questions covers each kind.

Cover letter

When there is a field for one it is usually optional. A few paragraphs written for this posting do more than a general letter; see how to write a cover letter for a job.

Voluntary survey

For US postings Ashby can show an Equal Employment Opportunity survey after the main form. It is optional, every question can be declined, and the employer states it is kept apart from the hiring decision.

Three things Ashby does differently

  • It keeps a draft. Ashby saves what you have typed on its side while you fill the form, so a reload may bring your answers back. Do not count on it across devices; finish in one sitting where you can.
  • It scores the send for bots. An invisible check runs when you press Submit. You will rarely see it, but filling a form in seconds and pressing Submit at once is the pattern it watches for. A person reading the page before the press is not.
  • An employer may limit repeat applications. Some employers set how often one candidate may apply within a period, across all their postings or one. A second application inside that window is refused with a message such as “We couldn't submit your application”. If you see it, the form is not broken: you applied recently, and trying again will not change the answer.

The last point matters most. At a company that sets such a limit, applying to three roles in one afternoon can mean only the first one counts. Pick the posting that fits you best and send that one first.

Step by step

  1. Read the Overview. Note the required skills, the time zone or office days, and the pay range.
  2. Choose which of the company's postings to apply to, in case the employer limits repeat applications.
  3. Make the resume for that posting. See how to tailor your resume to a job description and what a resume match score tells you.
  4. Open the Application tab and fill name, email and phone exactly as they are on the resume.
  5. Attach the resume and check any field Ashby filled from it.
  6. Answer the required questions, then the optional ones that help your case.
  7. Read the page, then press Submit Application. Ashby shows a confirmation on the page, and the employer usually emails one.

An application cannot be withdrawn from the employer's view once it is sent. Check the file name and every required answer before the press.

Mistakes that cost Ashby applications

  • Applying to every opening at once. At an employer that limits repeat applications, the second and third are refused, and the first may not be the one you wanted most. Choose before you send.
  • A time zone or office answer that does not match the posting. Remote roles on Ashby often ask whether you can work given hours. Read the Overview for the hours and the office days and answer for them, not for your current routine.
  • A LinkedIn link that does not open. Paste the full address of your public profile, and open it once in a private window to check it loads.
  • A resume named after another company. Call every file Resume.pdf and keep one per posting in its own folder, so the file you attach is the one you made for this job.
  • A salary figure in the wrong currency or period. Ashby employers hire across countries. Give the figure in the currency and period the question names, and inside the Overview's pay range when it states one.

What the Jobapplier extension fills on Ashby

The Jobapplier browser extension opens its panel on Ashby's own pages and on careers sites that embed an Ashby board. Ashby publishes each form's fields, so the extension knows the questions before it types.

  • Name and email go in straight from your profile, by code, without an AI call. When the employer added a phone field, the extension recognises it and code types your profile's number; your email, phone and address are never sent to the AI.
  • Questions are answered from your Application answers card first, then your profile, then the posting, and only what is left by the AI, marked AI on the panel.
  • The resume. “Apply with tailored resume” opens the Tailor screen over the page while the answers are prepared; when you press Apply Now, or close the screen, the extension fills the form in one pass and attaches this posting's own resume.
  • The cover letter goes where the form has a place for one, on plans that include letters.

You read the panel's Review and press Submit Application in the panel or Ashby's own button. The extension does not submit by itself and photographs the filled form first. Where a board's hosted page is off, the extension opens the form in Ashby's own frame so it can still be filled.

Letting the Agent apply on Ashby

Ashby is among the single-page forms Jobapplier's cloud Agent can send for you, within the same gates as everywhere: an Apply rule fits and no Skip rule does, the posting is open, you have not marked the job applied, and the run stays within its limit.

When an employer's repeat-application limit refuses a send, the Agent records the application as failed with Ashby's own words and does not try again, because a retry inside the window gets the same answer.

Questions

Does Ashby require an account to apply?

No. You fill the Application tab and submit; there is no sign-in.

What does "We couldn't submit your application" mean on Ashby?

Often that the employer limits how often one candidate may apply within a period and you have applied recently. Trying again will not help until the period ends; write to the company if you think it is a mistake.

Can I save an Ashby application and finish it later?

Ashby keeps a draft of what you type while you fill the form, so a reload in the same browser may bring it back. Finishing in one sitting is safer.

Does the Jobapplier extension submit Ashby forms for me?

No. It fills the form and shows every answer on its Review; the application goes only when you press Submit.
